Confirm the situation<\/h2><ul><li><strong>The user deleted a folder<\/strong> and has just noticed: check the bin first. This is often enough if you are still within the Microsoft 365 or Google retention window (see the table below).<\/li><li><strong>The mailbox is sending messages nobody wrote<\/strong>, or customers are receiving payment requests: this is a compromise, even if the messages are still there.<\/li><li><strong>Forwarding rules, an unknown delegation, a sign-in from an unexpected country<\/strong> in the logs: compromise.<\/li><\/ul><p>Microsoft lists other signs: rules that move messages to rarely checked folders (junk email, RSS feeds), a recently added external forward, a modified signature, unexplained password changes or lockouts.<\/p><p>If it is a simple recent deletion, restore from the bin or the backup and go straight to step 4. If it is a hack, carry out steps 2 and 3 before any restoration.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-09a4021 elementor-widget elementor-widget-text-editor\" data-id=\"09a4021\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2>2. Stop the leak<\/h2><p>From the admin portal, not from the user&#8217;s workstation:<\/p><ul><li><strong>change the password<\/strong> and enforce a second factor if there was none. Do not send the new password by email: the hacker may still be reading the mailbox;<\/li><li><strong>revoke sessions and tokens<\/strong>: changing a password does not always sign out sessions that are already open;<\/li><li><strong>delete forwarding rules<\/strong>, automatic replies, delegations and third-party applications connected to the mailbox;<\/li><li><strong>check the registered authentication methods<\/strong>: a hacker may have added their own phone;<\/li><li><strong>check the account&#8217;s administrative roles<\/strong>, if it was a privileged account;<\/li><li><strong>check whether other mailboxes<\/strong> show the same unusual sign-in. A hacker rarely holds just one mailbox when they have obtained a reused password.<\/li><\/ul><p>Microsoft describes these steps in detail for Microsoft 365; the equivalent exists in the Google Workspace admin console.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-672e3a8 elementor-widget elementor-widget-text-editor\" data-id=\"672e3a8\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2>3. Warn people<\/h2><p>Contacts targeted by payment fraud must be warned through a channel other than the compromised mailbox (phone). Management decides on the message. This is not an optional IT step: it is often where the money goes.<\/p><p>For any request received by message to make a transfer to new bank details, contact the creditor directly, on a number you already know. If a transfer has already gone, call the bank immediately to try to block it, then file a complaint with the Mauritius Police Force (Cybercrime Unit) and report the incident to CERT-MU on MAUCORS+.<\/p><p>If the mailbox contained personal data (customers, employees), the breach must be notified to the Data Protection Commissioner without undue delay and, where feasible, within 72 hours (Data Protection Act 2017, section 25), via the eDPO portal. Your legal adviser confirms the case.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-bcd08fa elementor-widget elementor-widget-text-editor\" data-id=\"bcd08fa\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<h2>4. Restore<\/h2><p>In the backup, choose the last date on which the folder was still there, before it was emptied. Restore the folder or the mailbox. Tell the user what will still be missing: messages received between that date and now, if they were destroyed before being copied. Say so plainly. Afterwards<\/h2><p>A second factor for all administrators and for this mailbox. A unique password, as CERT-MU&#8217;s email best practices point out. Check that a backup of this mailbox really exists: shared mailboxes are often forgotten. Keep a written record of the incident (facts, effects, measures taken), even if it was not notified.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-4f043ea elementor-widget elementor-widget-text-editor\" data-id=\"4f043ea\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<div class=\"wdb-g-brand\"><h2>At WeDoBack<\/h2><p>Microsoft 365 and Google Workspace emails can be restored from WeDoBack copies, stored outside the vendor&#8217;s service, including calendars and contacts, provided the mailbox was within scope: one agent per address, plus storage for the volume. Without an agent on that address, there is no WeDoBack copy, however good the server backup may be. In Gmail, the user has 30 days in the bin, then the administrator has a further 25 days to restore. After these periods, only an independent backup lets you go back.<\/p><\/details><details><summary>Is changing the password enough to lock out a hacker?<\/summary><p>No. Sessions already open and access tokens may remain valid, and a forwarding rule keeps working without a password. Microsoft recommends resetting the password, revoking sessions, enabling multi-factor authentication and reviewing forwarding rules, authorised applications and administrative roles.<\/p><\/details><details><summary>Should we file a complaint or notify the Data Protection Office?<\/summary><p>Yes, especially in the event of financial fraud: file a complaint with the Mauritius Police Force (Cybercrime Unit) and report the incident to CERT-MU on MAUCORS+. If the mailbox contained personal data about customers or employees, the breach must be notified to the Data Protection Commissioner without undue delay and, where feasible, within 72 hours (Data Protection Act 2017, section 25).
